About this notice

You've been asked to complete a screening using MagicScreen. This short notice explains how your personal data is used.

Quick version:

  • The company that invited you (the "Employer") decides what to ask, what to assess, and what to do with the results. They are in charge of your data.

  • MagicScreen is the platform that runs the screening. We process your data on the Employer's behalf — we don't decide what happens with it.

  • AI helps with the assessment. A human at the Employer reviews the AI's output before any decision is made.

  • Your rights are protected. You can ask for information, human review, correction, or deletion — just contact the Employer.

1. Who is who

The Employer (the recruiter or company that invited you): decides what data is collected, what questions are asked, how results are used, and how long data is kept. The Employer is the data controller and is primarily responsible for answering your questions and honouring your rights.

MagicScreen (a product of TechMagic, registered at 41 Devonshire Street, Ground Floor, W1G 7AJ, United Kingdom, with operational offices at 108 Stryiska Street, 79026, Lviv, Ukraine): provides the screening platform to the Employer. We process your data on the Employer's instructions. We are a data processor.

2. What data we process

Depending on the screening the Employer has set up, this may include:

  • Contact and identification data — name, email, phone.

  • Application data — CV, cover letter, answers to screening questions.

  • Interview responses — your typed, spoken, or video responses during the session.

  • AI-generated outputs — summaries, scores, and recommendations produced from your responses.

  • Technical data — device and browser information, timestamps, IP address, logs needed to run the session.

You are asked only for data that is relevant to the role. Please don't share sensitive information (health, religion, political views, etc.) unless it is specifically and obviously required.

3. How AI is used

MagicScreen uses artificial intelligence — including large language models — to help the Employer evaluate your responses against the criteria they set for the role. What that means in practice:

  • The AI reads your responses and produces a structured summary.

  • The AI assigns scores against the Employer's criteria.

  • The AI highlights strengths, possible concerns, and suggested follow-up questions.

  • A human at the Employer reviews the AI's output before making any hiring decision.

The AI is instructed to focus on skills, experience, and role-relevant behaviour, and to ignore characteristics like race, sex, age, religion, or disability. AI is not perfect — it can make mistakes. That's one reason human review is built in.

We do not use your data to train AI models.

4. Why your data is processed (lawful basis)

The Employer determines the lawful basis under GDPR. In most cases it will be:

  • Legitimate interests — running a fair, consistent recruitment process; or

  • Consent — where the Employer asks for it.

Contact the Employer to find out the specific basis they are relying on.

5. How long data is kept

The Employer sets the retention period. Typical periods are 6–24 months after the end of the hiring process, unless you are hired (in which case the Employer may transfer the data to their HR records) or local law requires something different.

You can ask the Employer to delete your data earlier, subject to any legal retention requirements they have.

6. Who sees your data

  • The Employer's hiring team, as authorised by the Employer.

  • MagicScreen, strictly as needed to run the Service.

  • MagicScreen's subprocessors — including our cloud host and the AI model provider — under strict contractual controls. The full list is on our Subprocessor page.

Your data is not sold, shared with advertisers, or used for purposes outside the screening.

7. International transfers

Some of our subprocessors (notably AI model providers) may process data outside the UK/EEA. Where that happens, we put in place the safeguards required by UK and EU law (UK IDTA / EU Standard Contractual Clauses and supplementary measures).

8. Your rights

Under UK and EU data protection law you can:

  • Access — ask what data is held about you and get a copy.

  • Rectify — correct inaccurate data.

  • Erase — ask for your data to be deleted.

  • Restrict — ask for processing to be paused.

  • Port — ask for your data in a machine-readable format.

  • Object — to processing based on legitimate interests or to direct marketing.

  • Withdraw consent — where consent is the basis, you can withdraw it at any time.

  • Request human review — ask a person at the Employer to review any assessment produced with MagicScreen, express your point of view, and contest the outcome.

How to exercise your rights: contact the Employer first — they are the controller and can action most requests directly. If you aren't sure who to contact, or if you need our help, email hello@techmagic.co and we will put you in touch.

You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk, or to your local data protection authority in the EEA.

9. Security

We use industry-standard security measures: encryption in transit and at rest, strict access controls, multi-factor authentication for staff, logging and monitoring, and regular independent testing. More detail is available on request.

10. Children

The Service is not intended for people under 16.
